Reports & revisions
A notebook, a working report and a retained revision have different jobs. Keeping those records distinct makes it easier to understand what changed and what was reviewed.

Three records in the workflow.
Scroll horizontally to read the full table.
| Record | Purpose | How it changes |
|---|---|---|
| Fieldwork notebook | Source observations, photographs, measurements and follow-ups. | Develops as the visit and verification work continue. |
| Working report | The report being prepared, including imported evidence and narratives. | The appraiser edits, reviews and saves it. |
| Retained revision | A recorded report snapshot paired with its PDF. | Preserved as recorded; subsequent corrections belong in a new revision. |
Import evidence without losing its context.
Importing fieldwork places a separate snapshot into the report. Observations keep their source context, and photo exhibits retain their labels and area associations. Proposed subject values need review before being used as report facts.
Changing the notebook later does not change the imported report. If more evidence arrives, review the updated notebook and deliberately reimport. Check the resulting report before requesting another AI pass or retaining a new revision.
Resolve competing changes deliberately.
A report saved on one device may be newer than the copy open on another. Cloud version checks refuse stale saves so an older copy does not silently replace newer work.
When the application identifies a conflict, preserve your local edits and review the current cloud version. Recovery copies help preserve work after interruption, but they are not a substitute for confirming that a cloud save succeeded.
Retaining, archiving and deleting are different.
A retained revision preserves the report snapshot and PDF that were recorded together. It should not be confused with a signature, professional approval or lender submission.
Archiving hides report work while keeping it recoverable. Deletion follows a separate request and retention process; records may have to be kept for the firm's obligations. See the privacy policy for the public retention and deletion terms.
Exported PDFs and backup files leave the application's encryption boundary. Store and share them using the firm's controls, and confirm the required delivery format and acceptance process before sending a report onward.
