Who we are
Jarod Vyent LLC operates Appraisal Intelligence.
Appraisal Intelligence is a workspace for writing UAD 3.6 appraisal reports. It has a Windows and Mac app, an iPhone and iPad app for fieldwork, a web page for signing in and managing a firm, and a cloud service behind them. In this policy, “we” and “us” mean Jarod Vyent LLC, a Florida limited liability company in the United States. You can reach us at support@jarodvyent.com.
While the iPhone and iPad app is in testing, Apple distributes it through the Apple developer account of SciPHR LLC, an affiliated company. SciPHR LLC does not receive your account data or report content from the Appraisal Intelligence service. Your TestFlight tester details, crash reports from test builds, and any feedback or screenshots you choose to send through TestFlight reach the SciPHR LLC developer account, and only Jarod Vyent LLC reviews them.
This policy covers Appraisal Intelligence only. It does not cover the rest of jarodvyent.com.
Your firm
Your firm decides what goes into its reports.
Appraisal Intelligence is provided to appraisal firms. Your firm is our customer. It invites you, gives you a seat and decides which assignments you work on.
Reports hold information about people other than you: borrowers, lenders and other clients, intended users, and the people who live in or give access to a property. Your firm decides what of that information to enter, and your firm is responsible for its own obligations to those people. We store and process that information to run the service for your firm, and for no other purpose.
If you are a borrower, client or occupant named in a report, the quickest route for a request is the appraisal firm that prepared it. You can also write to us and we will work with that firm.
What we collect
Your account.
Accounts exist only by invitation. Nobody can create an account by signing in. For each account we keep:
- Your email address and the user ID of your account in Google Identity Platform, the sign-in service we use
- Your password, which Google Identity Platform stores as a one-way hash that we cannot read
- Your firm, your role, whether you have a seat, and the firm’s license
- Invitations sent to you, and an administrative log of changes to people, roles, seats and licenses
You can also sign in with Google or Apple, but only after you connect it from inside the account your firm invited. Signing in with Google or Apple never creates an account. After that, it signs in to that same account, with the same firm, seat and reports. Connecting does not change your account email, and you can disconnect either one under Sign-in methods.
- Google sign-in is available in the Windows and Mac app and in the iPhone and iPad app. Google returns your email address, your name and the web address of your profile photo to the sign-in service.
- Sign in with Apple is available only in the iPhone and iPad app, where it uses Apple’s built-in sign-in on your device. We do not ask Apple for your name or email address. Apple returns a stable user identifier for our developer account, which we use only to recognize your connected account.
We do not receive your Google or Apple password, and we do not keep the access tokens those companies issue. A Google or Apple sign-in completes only on the device where you started it.
What we collect
The appraisal work you enter.
Appraisal Intelligence stores the content you and your firm put into it:
- Subject and comparable property details: addresses, parcel numbers, sale prices and dates, and property characteristics
- Assignment details: the client, the intended use and intended users, dates, and contact and access notes, which can include the names and phone numbers of occupants or agents
- Notes, checklists and inspection records
- Photos you take or add. When you add a photo, Appraisal Intelligence removes its embedded metadata, including any location, before storing it.
- Floor plans from room scans on iPhone and iPad, with the device model and iOS version that made the scan
- Report narratives, valuation figures and signed report revisions, including the PDF
- A record of each AI request: who made it, for which report, the model used, the amount of processing, its cost and the text it returned
What we collect
Technical information.
Our cloud service runs on Google Cloud Run. Google records the IP address, browser or app details and the requested web address of each request. Our own service logs record your user ID, firm and the request when access is refused, and never your password, sign-in tokens or email address. To slow down password guessing, we keep a one-way hash of the email address typed into the sign-in form for a short time.
The Windows and Mac app sends its version number with each request so the service can refuse versions that are too old. The iPhone and iPad app asks for camera access to take photos and scan rooms. It does not ask for your location, contacts or photo library permissions, and it does not use advertising or device identifiers.
How we use it
To run the service for your firm.
We use this information to sign you in, check that you have a seat, store and sync your reports and notebooks, look up property records, draft report text with AI when you ask for it, keep the service secure, and answer your requests. We send email only for account verification, password setup and resets, and invitations. We send these emails ourselves from noreply@jarodvyent.com through Cloudflare Email Service, not through Google. Please do not reply to these automated emails. For help, write to support@jarodvyent.com. We do not use your information for advertising, and we do not build profiles of you.
AI drafting
What goes to OpenAI, and what does not.
When you ask for an AI draft or a report check, we send report text to OpenAI through its API. That text includes the subject property details, report narratives, comparables, valuation figures, inspection records, a text summary of the floor plan, photo captions, and fieldwork notes and assignment details.
We do not send OpenAI your photos, the contact and access notes, or your name, email address or user ID. Requests are sent with OpenAI’s response storage turned off. OpenAI may briefly cache the start of a request to process repeated requests faster, and it may keep API inputs and outputs for a limited period to monitor for abuse, under its API terms. OpenAI may process data in the United States or in other countries.
Before and after each AI request, Google Cloud Model Armor screens the text for unsafe or manipulated content. Model Armor sees the report text without photos or floor plan shapes. We have turned off Model Armor’s logging of the screened text, so it is not written to our logs. If the screen cannot run, the AI request is refused.
Storage and security
Stored in Google Cloud, in Iowa.
Accounts, reports, notebooks and AI records are stored in a Cloud SQL database in Google Cloud’s us-central1 region in Iowa, United States. The database has no public address and accepts only encrypted connections. Google Identity Platform, which holds sign-in details, is a Google service that runs worldwide.
All traffic between the apps and our service is encrypted in transit, and Google encrypts stored data at rest. Every report request is checked for a verified account, firm membership, an active license and an assigned seat. Signed report revisions and the administrative log cannot be changed after they are written.
On your device
What stays on your phone, tablet or computer.
On iPhone and iPad, fieldwork notebooks are encrypted by the app with a key kept in the iOS Keychain on that device only, and they are excluded from device backups. Your sign-in session is kept in the Keychain. The app works offline for at most 7 days before it has to check your access again. Signing out removes your access and session from the device but leaves the notebooks, and deleting the app removes them.
Offline measurements on iPhone and iPad are an exception. They are stored as plain files that you control in the Files app, protected by iOS data protection but not encrypted by the app, and they are excluded from device backups.
On Windows and Mac, drafts, recovery copies and saved revisions are encrypted by the app with a key protected by the operating system: the Keychain on Mac, and Windows Data Protection on Windows. If you use Appraisal Intelligence in a web browser instead of an app, fieldwork notebooks, drafts and recovery copies are kept in that browser’s storage and are not encrypted by the app.
Any file you export or share, such as a backup, a measurement file or a report PDF, leaves the app’s encryption. Where it goes after that is under your control.
Service providers
The companies that process data for us.
We use these providers, and only for the purposes listed:
- Google Cloud: hosting on Cloud Run, the Cloud SQL database, Cloud Logging, Secret Manager, Model Armor screening, and Identity Platform, which stores accounts and passwords and handles sign-in
- Cloudflare, Inc.: email delivery through Cloudflare Email Service. Cloudflare receives the recipient email address and the message itself for each invitation, password setup or reset, and email verification we send. Message previews are turned off.
- Google Maps Platform: address suggestions. As you type an address, the characters you have typed are sent to Places autocomplete.
- U.S. Census Bureau geocoder: turns the subject address into map coordinates. When you use the Windows or Mac app, the request goes from your computer, so the geocoder also receives your IP address.
- Ohio statewide parcel service, hosted by Esri ArcGIS: parcel records for the subject property. It receives the address and coordinates, and we do not request owner names. When you use the Windows or Mac app, the request goes from your computer, so the service also receives your IP address.
- OpenAI: AI drafting and report checks, as described above
- Google: sign-in with Google on any of the apps, if you connect it to your account
- Apple: Sign in with Apple in the iPhone and iPad app, if you connect it to your account
- GitHub: hosts the Windows and Mac installers. GitHub receives the usual request details when you download one.
- Apple TestFlight: distributes test builds of the iPhone and iPad app through the SciPHR LLC developer account. Under Apple’s TestFlight terms, Apple shares these with the SciPHR LLC developer account: your tester details, such as your name and email address, crash reports from test builds, and any feedback or screenshots you choose to send. Only Jarod Vyent LLC reviews them, and we use them only to fix the app.
We share information only with the providers listed here and with SciPHR LLC as described above, and only under terms that require them to protect it at least as well as this policy describes. Apart from the TestFlight reports described above, we do not use any analytics, crash-reporting or advertising service.
Cookies
Only the cookies sign-in needs.
The sign-in service sets cookies that keep you signed in. They are strictly necessary, and their contents are encrypted so that only our service can read them. A session ends after 24 hours, or after 8 hours without use. A short-lived cookie lasts 5 minutes while a Google sign-in is in progress in your browser. We do not use analytics or advertising cookies.
What we do not do
No tracking, no ads, no sale of data.
We do not track you across other companies’ apps or websites. We do not show ads. We do not sell or rent personal information, and we do not share it for advertising.
Appraisal Intelligence is a professional tool for appraisal firms. It is not directed to children, and we do not knowingly collect information from children.
Retention
How long we keep it.
We keep accounts, reports, fieldwork notebooks and AI records for your firm’s records until your firm or you ask us to delete them. Archiving a report hides it but keeps it, so it can be restored.
After we delete data, copies in our database backups roll off within about 7 days. Records of Google or Apple sign-in attempts expire after 5 minutes and are then deleted. Expired sessions and password-guessing counters are deleted automatically. Service logs are deleted by Google Cloud Logging when its retention period ends, which is 30 days by default.
Signed report revisions and the administrative log are built so they cannot be changed. Appraisers and lenders often have to keep signed reports for years, so we may keep these records where the law or your firm’s record-keeping obligations require it, even after other data is deleted.
Your requests
Access and deletion.
To ask for a copy of your information, to correct it, or to delete your account or your firm’s data, email support@jarodvyent.com from the address on your account. We respond within 30 days. We may need to confirm the request with you, or with your firm when the data belongs to the firm’s records.
Deleting your account removes your sign-in account and deactivates your membership in the firm, so it can no longer be used. The administrative log keeps a record of the change, including your email address. Reports and notebooks are part of your firm’s records and are deleted when your firm asks, except the records described under Retention. Data on your own devices is removed by deleting the app, or on Windows and Mac by removing the Appraisal Intelligence folder in your user profile.
Changes
When this policy changes.
We will post any change on this page and update the effective date at the top. If a change affects how we use information we already hold, we will email your firm’s owners before it takes effect. This version is effective October 1, 2026.
